Privacy policy

Who is responsible
CMES Properties LLC operates the CMES Properties desktop app for its internal property management. This policy describes that app and its QuickBooks connection. Contact cmesproperties@gmail.com for privacy questions.
Information handled
Information entered or imported into the app may include tenant names, contact details, office assignments, deposits, lease and rent dates, rent history, service selections, building measurements, expenses, loan payments and notes. Authorized QuickBooks access retrieves company identification, customer names and identifiers, selected customer invoices, payments and credits, and company purchases, vendor bills, bill payments and vendor credits. These records may contain names, descriptions, transaction identifiers, dates, categories, amounts, balances and linked transactions. Do not put medical records, payment-card details or unrelated sensitive information into notes.
Purpose
The app uses this information to manage leases and office assignments, calculate rent and shared expenses, show historical comparisons, and let authorized users review QuickBooks records against property records. The app does not sell information, use it for advertising or use it to train AI models.
Storage and protection
Property records and saved QuickBooks review copies are stored in files on the user’s Mac. The app also keeps previous-file backups and, for certain imports and changed QuickBooks records, earlier copies or revisions. These record files are not separately encrypted by the app; their protection depends on the Mac’s account permissions, disk encryption and backup settings. App credentials and QuickBooks access and refresh tokens are stored in macOS Keychain. The app does not request the user’s QuickBooks password. Operating-system or user-configured backups may copy local records to other locations or services.
QuickBooks and other recipients
The app communicates directly with Intuit over HTTPS to authorize access and read records from the selected QuickBooks company. Intuit handles account sign-in and its services under its own policies. The current integration does not send the app’s tenant files or monthly finance ledger to QuickBooks. Authorized users may separately share records or request support; only provide the information needed, and never email passwords, app secrets or sign-in results. The current app has no added advertising, analytics or crash-reporting service.
Public pages and the sign-in return page
These public policy and sign-in pages are prepared for hosting on Cloudflare Pages. Visits can disclose connection information such as an IP address, browser information and requested address to that provider. During authorization, the return address contains a short-lived code, a state value and a QuickBooks company identifier. The prepared return page keeps the result in browser memory for the user to copy directly into the app and removes the query string from the displayed address; it does not itself exchange tokens. The pages have no added analytics, advertising or third-party scripts. Cloudflare processes visitor and connection information to deliver and protect the site under its privacy policy. CMES does not add analytics or retain authorization results in a website database. Clearing the browser address does not remove information already processed by the hosting provider; provider retention is governed by its practices.
Retention and deletion
Local records are retained until removed through an authorized maintenance or deletion process; they do not expire automatically. Removing a tenant from an active list by archiving preserves that tenant’s history. Removing the local QuickBooks connection deletes its Keychain credentials but does not delete review copies, transaction revisions, property records or backups. Revoke the connection in QuickBooks’ connected-app settings to withdraw Intuit authorization. Deleting a record in QuickBooks does not automatically remove previously saved local copies.

Appropriate accounting, legal or operational retention requirements may limit deletion. Complete removal may require handling local files, saved revisions and backups separately; uninstalling the app alone does not remove them. No automatic secure-erasure feature is currently provided.
Your choices
Connecting QuickBooks is optional. Authorized users choose the company, customer and month to preview, whether to save a review copy, and any proposed category mappings. Previewing or saving a review does not change QuickBooks or replace monthly finance totals. You may stop fetching records and remove the connection at any time.
Changes and contact
Updates to this policy will carry an effective date and be made available to authorized users. Material changes to access, storage or sharing will be described before they are enabled. Send privacy inquiries to CMES Properties LLC at cmesproperties@gmail.com.
